This Makes Growing Your Biz Less Painful

Do you know the right time for you to be getting systems into your business?

Yesterday. šŸ™‚

Yup. Unfortunately, it’s usually sooner than we think.

In fact, any time you start anything new in your biz you should simultaneously be setting up a system and/or tracking for it.

Why?

Because it’s so much more painful to do it later.

  • Later when you’re so far in that it’s hard to remember what you already did.
  • Later when all the knowledge lives in your head and it’s difficult to train someone else on it.
  • Later when you’re dragging your feet in setting up a process because it’s such a pain.

I’ve done this so many times it kills me.

* Started an FB ad campaign and didn’t take the time to set up a simple spreadsheet with the specifics like, demographics, costs per click, ad spend etc. Then three months later when I was ready for my next campaign, I spent hours digging up all this old info. (which was hard and confusing) so I could compare results.

* Added a new online program to my site (which takes almost 70 steps!) but didn’t document as I was implementing. Guess what happened six months later when I created a new program? Had to painfully piece together all the details (while of course missing many steps).

* Created my blog videos for years without documenting a process and it took my assistant weeks to get up to speed, as I was slowly developing a system as I was training him. (If I’d been compiling this as I was blogging, I could have just handed it off).

And I could go on and on.

The truth is, you can (and should) document your system/process for every part of your biz. I’m talking everything.Ā 

If you sell an online product or service, create a system and document the experience for your customers.
Like: welcome email, followed by email with details, followed by link to your schedule, etc.
Get it down in a process.

If you have sales conversations, create a system and document how your calls and sales funnels are set up.
Like: call with welcome, overview of call, ask questions, give recommendations, restate challenges, offer services, etc.
Get it all down in a process.

If you answer phone calls, create a system and document what you say and what information you want. You know the drill…

Ok, so how do you go about actually creating a process or system?

GO SIMPLE.

There are a ton of different programs apps, and software out there to help systemize your biz. But if you’re just starting out (or are a fan of keeping things simple), I’d start with the Google suite.

Google Docs is an awesome place to make lists. Think checklists, a step-by-stepĀ process or a table outlining who is responsible for what.

Google Sheets is an awesome place for anything number or spreadsheet related. Think campaigns, costs, financials, results, predictions, and budgets.

Google Drawings is an awesome place for visual systems. Think funnels, processes and other visual charts/graphs that will help you systemize.

You don’t need to spend a lot of time or money when you’re first documenting how things work or the results you want.

Why are systems so important?

I’ve already touched upon the time savings when you create them as you’re starting anything new in your business.

You’ll spend less time doing it now than trying to remember or recreate in the future. But here are some other powerful benefits.

  • You’ll save TONS of time, energy and money when you hire or train someone new to take care of theĀ task and/or process
  • Your current team will be on board and synergistic with how things should be done
  • You’ll more easily identify gaps and/or opportunities in your process when you get it down on paper
  • You’ll avoid details from falling through the cracks when you have details right in front of you
  • You’ll use less brain power on remembering stuff. In other words, you’ll have more energy!
  • You can easily share a documented system or process with other colleagues, friends or partners to collaborate or get feedback and fresh ideas
  • Your business willĀ be more organized and structured. And who doesn’t want that??

I’m a lot better at documenting processes now, but if I could go back in my business, I’d start everything right at the beginning.

It would have helped tremendously with delegation, prioritization, scheduling, hiring, budgeting and structuring my time and energy.

This makes so much sense! How many times do we struggle a second time because we didn’t take time to take notes on how we did it the first time? We just need to be more aware that it would save us so much time and misery later if we’d do this! I’m going to try to implement this as I am just getting started in developing my business, so I can learn from other’s mistakes!

Thank you for these insights. I heard you recently on a podcast with Mike Vardy talking about systems. This makes so much sense. I’ve already spent time analysing everything I do to get it into a step by step. It’s amazing. I’m now learning more about Asana to utilize with the information/work flow process. Thank you.
