Too much to do and too little time?

If your to-do list feels out of control this time of year, you’re not alone.

I hear it constantly.

Leaders tell me their list has turned into a chaotic mix of tasks, errands, ideas, half-baked plans, and “might need this later” notes that somehow never leave the page.

Let’s change that.

Here are three simple steps to help you nail your to-do list, even in the busiest seasons.


Step #1: Separate your tasks into categories

A long, mixed list tricks your brain into thinking everything is equally urgent.

No wonder it feels overwhelming.

Instead, break your list into three clean categories:A

  1. Admin: quick tasks like calls, emails, and scheduling
  2. Projects: anything that takes deeper thought or multiple steps
  3. Personal: life, errands, home, family

This instantly adds structure.

It reduces that “everything everywhere all at once” feeling and lets your brain process what’s actually in front of you.


Step #2: Assign a time, not just a task

This is where everything shifts.

Most people think they have a task problem, but really, they have a timing problem.

A task on your list without a time assigned is like an unsent text.

You wrote it. You meant it.

But unless you hit send, it doesn’t go anywhere.

When you assign a time, you turn intention into action.

Ask yourself:
When will I do this? Morning? Afternoon? Friday? During my focus block?

Even giving something a rough placement, like:

“Thursday afternoon” or “before lunch tomorrow”

…dramatically increases the odds it will get done.

This also protects your mental energy.

Instead of carrying tasks in your head all day, you give them a designated home.

That alone reduces stress, decision fatigue, and the constant feeling that you’re behind.


Step #3: Focus on your Top 3 each day

This step creates real traction.

Your list might be twenty items long, but your day isn’t.

Choosing your Top 3 priorities gives you clarity, direction, and a sense of control from the moment you start your morning.

Success Tip: Pick the three tasks that matter most for your goals. Not the three that are easiest.

I repeat.

Do not start your day with the easiest tasks.

Avoid the temptation to “warm up” with email.

Do something you typically put off.

This helps make everything else on your list feel easier, and you feel a whole lot more productive.


The Bottom Line

Your to-do list will never stop growing.

So it’s super important to know how to manage it in a way that leaves you feeling clear and capable instead of scattered and drained.

When you:

  1. Break your list into clean categories
  2. Decide WHEN tasks will actually happen and…
  3. Commit to completing your Top 3

You build a sense of control that carries you through even the busiest seasons.

This is how you shift from reacting all day to leading your day with intention.

And more importantly, you end each evening with the feeling you’re really after.

That grounded, confident moment where you think,

“I made real progress today.”

That’s the win.
