Only read this if you want more time

“Nothing’s wrong… I just feel like I’m constantly trying to keep up.”

That’s what my client said, a few weeks after she was promoted.

On paper, her growing team and results looked like progress.

But her days felt heavier, not easier.

Because the way she was working hadn’t caught up to the level she was now at.

Here’s what most people assume:

As your responsibilities grow, you need more in your calendar.

More meetings. More decisions. More demands.

Right?

Wrong.

The more responsibility you have, the more SPACE you need.

Because your role shifts. You’re not just executing.

You’re thinking, deciding, solving, and leading.

And a jam-packed calendar won’t get you there.

IF you want growth to feel lighter instead of heavier,

…You have to create space on purpose.

Here’s how.

Step #1. Systemize what’s repeatable

Think about how many things you repeat in a week.

  • Emails you send.
  • Steps you follow.
  • Decisions you make.
  • Projects you kick off.
  • Meetings you lead.
  • Questions you answer.
  • Conversations you have.

If you’re figuring those out from scratch every time, you’re wasting super valuable time and energy.

Start capturing them.

  1. Create processes.
  2. Write out the steps.
  3. Use templates.

The goal is to systemize as much as possible, so you remove unnecessary time and energy.

Even when you think every project or customer is different, I guarantee there are many similarities in your approach, thinking, or frameworks.

There are opportunities to systemize everywhere!

You know at least ONE task/project/thing that can be systemized right away. Quick: Hit reply and let me know what it’s gonna be!

#2. Get clear on what actually needs you

As your role grows, it’s easy to keep doing everything you’ve always done.

It feels efficient and responsible.

But it keeps your time tied up in the wrong places.

Not everything needs your attention in the same way.

  • Some things can be delegated.
  • Some can be shortened.
  • Some don’t need to happen at all.

The shift is being honest about what actually requires you.

Because every time you hold onto something that doesn’t, you’re taking space away from higher-level thinking, problem solving, and leadership.

And that’s the work that really moves things forward.

Remember, just because you can do something doesn’t mean you should.

#3. Actually build space into your calendar

This is the part most people skip.

Even if you systemize and get clear on your priorities, it doesn’t matter if your calendar is still packed from morning to night.

Space doesn’t just appear.

You have to put it there.

That might look like:

  • Blocking time with nothing in it.
  • Leaving buffer between meetings.
  • Protecting time for thinking, planning, or catching up.

And yes, it can feel uncomfortable.

Celebrity gif. Donald Glover looks at the camera with a still grimacing expression. He tugs on the collar of his shirt and winces.

It can feel like you’re leaving time unused.

You’re not.

You’re creating room for the work that doesn’t fit neatly into a meeting.

Because as your responsibilities grow, so does the need for strategic thinking, creativity, and problem-solving.

And none of that happens when every minute is already spoken for.

The Bottom Line

The natural instinct, as things grow, is to fill your time.

But that’s what makes everything feel harder.

The real shift is creating space, not losing it.

Systemize what you can so that work takes less effort.

Let go of what doesn’t truly need you.

Make space for the work that actually moves things forward.

Because the higher you go, the less your value is in doing more.

And the more it is in having the space to think.
